It's hard to imagine managing over 50 trips a year without this tool. It seamlessly handles the logistical needs of short-term teams, from hosting and tracking fundraising to collecting essential documents and information. Plus, it empowers participants with deadlines through a user-friendly interface, making the whole process incredibly efficient.

The Summit Church, in partnership with Triumph Tech, launched a strategic initiative to enhance the ability to manage missions by focusing on three key objectives:

  1. Replacing Legacy Systems
  2. Developing External Tools
  3. Enhancing Internal Tools

This initiative aims to improve the church's operational effectiveness and participant engagement, which helps foster the vibrant sending culture at the Summit.

Project Overview

The church funded core enhancements to improve the fundraising opportunity feature and group requirements.

Participation Type

The Summit Church aimed to allow families to fundraise together rather than setting separate goals. To achieve this, they funded enhancements to the fundraising opportunity view and fundraising progress blocks. A new Group Attribute was created, enabling groups to choose between "Individual" or "Family" participation. Selecting "Family" allows trip participants from the same family to combine their fundraising efforts within these blocks, streamlining the process and promoting collective goal achievement.

Participant Checklist

The Summit Church wanted to track tasks required before participants could go on mission trips, such as document submission. They funded enhancements to group requirements and the Fundraising Opportunity feature, integrating these requirements into the Fundraising Opportunity Participant block and attaching workflows to them. This allows trip participants to easily complete and manage necessary tasks independently.

Enabling Tasks for Fundraising Groups

The Summit Church recognized the need for flexibility in creating groups and managing requirements. To address this, they funded enhancements that allow copying group requirements between groups, setting categories for group requirement types, and attaching workflows for unmet or warning requirements. Additional settings such as expiration dates and due dates were introduced. These enhancements enable the Sending Ministry to efficiently create mission trips by using templates, set dynamic deadlines based on trip attributes, and empower participants to manage their requirements, ensuring timely submission of critical paperwork.

Enabling Flexibility for Select Trip Participants

The Summit Church needed a way to apply specific tasks only to select trip participants. For instance, a participant might miss a trip meeting, or minors might not need a background check. Flexible deadlines for tasks were also necessary.

To address this, The Summit Church funded enhancements to group requirements, allowing tasks to:

  • Apply based on Age Classification (Adults or Children)
  • Be overridden by leaders for specific participants
  • Have deadlines determined by group attributes if configured

These enhancements ensure that tasks are applied appropriately and deadlines are flexible.

Group Member Detail Enhancements

Just as trip participants can view and address missing requirements, staff workers can also complete or override tasks from the group member detail block. Additionally, if quick communication with a group member about missing tasks is needed, staff workers can use the quick communication feature on the group member detail block to connect with them efficiently.

New Enhancements and Designs

With these new core enhancements, The Summit Church aimed to equip their Sending Team, trip leaders, and trip participants with improved tools for the fundraising opportunity feature and group requirements.

A new trip page has been developed to showcase trip details, provide trip updates, and offer donation opportunities. This page also features a content channel where trip leaders can share updates with viewers.

As an authenticated person, you can view additional details about your progress (or your family's progress if the participation type is "Family"). You also have the option to make a payment toward your trip and view your trip profile or the profiles of your family members.

As a leader, you have access to the missions toolbox, which provides trip details, critical due dates, and a high-level overview of all trip participants. This information is essential for effectively managing the trip.

Trip Participant Donations

There is an updated view of the trip participant profile accessible to non-trip participants. This view is commonly used by trip participants to share their profiles and request donations from friends, family, or via social media.

If you are authenticated as the current person or a trip leader, you can view your fundraising progress, participant checklist, contributions, and trip updates. For international trips, where extensive information is needed, The Summit Church has also added a list of quick Links on the trip participant page. These links, managed via group attributes, are set on each trip template for easy access.
